Fill a Position with a Temporary Assignment
A position may be filled with a temporary employee for the following:
- To fill behind an employee on a leave of absence, including an employee who temporarily assigned in a higher position (“leave to higher”)
- To fill a relief position that is specifically created for a short/defined amount of time (no more than six months)
Typically, the employees that are eligible for a temporary assignment are on a current eligibility list; however, if there is not an appropriate list, your Assignment Technician can assist you with identifying someone to temporarily fill the position.
My employee is on a Leave of Absence (an absence of 21 consecutive days or more)
If you need to fill a position behind someone who is on a leave of absence, the Principal or School Administrative Assistant (SAA) at a site should contact their CESB Assignment Technician to determine the status of an eligibility list for the position from which an employee has taken a leave of absence. The Assignment Technician will send the list of names of candidates who are eligible and interested in remporary assignment.
Once someone has been selected from the list, the Assignment Technician will make the official offer. If the individual chosen is already an employee, a two week notice will be given to the “releasing” school or office.
If the individual chosen is not currently a District employee, she or he will need to attend a new hire processing appointment and will be ready to start work once his or her fingerprints clear.
If there is no one on the list that can fill the upcoming temporary vacancy, the Principal or SAA should contact the Assignment Technician who can help determine other options for filling the vacancy.
My employee is being offered a temporary assignment in a higher job classification (“leave to higher”)
If there is a need to fill a position behind an employee who is on leave of absence or on a leave to higher assignment, the Principal or School Administrative Assistant (SAA) or Office Manager should contact the Assignment Technician to determine the status of an eligibility list for the position. The Assignment Technician will send the list of candidates who are eligible and interested in the temporary assignment.
Once the candidate has been selected from the list, the Assignment Technician will make the official offer. If the selected candidate is a current employee, a two-week notice will be given to the “releasing” school or office.
If the selected candidate is not currently a District employee, he or she will need to attend a new hire processing appointment and will be ready to start work once his or her fingerprints clear.
If there is no one on the list that can fill the upcoming temporary assignment, the Principal or SAA/Office Manager can contact the Assignment Technician who can help determine other options to temporarily fill the position.
What happens when my employee’s temporary assignment in the higher job classification is finished?
Once the temporary assignment in the higher job classification is filled, either (1) the employee who went on leave to higher will return to your site in their regular position, or (2) your employee will be hired on a permanent basis in the higher job classification and your position will need to be filled permanently. The Assignment Technician will provide you with the appropriate employment eligibility list and guide you in filling the position.
