Data

Where does the school get the contact information for the Blackboard Connectnotification system?
Parents/guardians provide the notification contact information on the new Student Emergency Information Form. This provides the parents/guardians the ability to choose which phone number should be called for general, attendance and emergency messages. The Blackboard Connect system allows for five distinct phone numbers to be associated with each student. In addition, two email addresses can also be entered in the Blackboard Connect system. Updating contact information should be done at the beginning of each school year and whenever a change occurs during the year.
When is attendance data sent to Blackboard Connect?
The Blackboard Connect system sends two attendance messages each school day. The data for these calls comes directly from ISIS/LAUSDMAX. For morning attendance calls, the data includes all attendance information reported through 10:00 AM. For evening attendance calls, the data includes all attendance information reported through 3:30 PM. Based on the volume of data and the processing time, the morning attendance calls are sent beginning at 11:00 AM and the evening calls are sent beginning at 6:00 PM
What happens at the end of the school year to student contact information? (Can I send a message to students during the summer break?)
To allow schools to send messages during the summer break, student contact information at the end of the school year is preserved and not updated until the beginning of the new school year. This does not apply to year round schools where student contact data is updated daily when the tracks that are in session. At the beginning of the new school year, the student contact information will be updated when the student is assigned a schedule in the student information system. This normally occurs a week before the start of school.
How do I get matriculating students into Blackboard Connect before the start of the school year?
In order for student contact information to appear in Blackboard Connect, two criteria must be met. Student must be actively enrolled and have a schedule assigned to them. Should you want to include the incoming students before these two criteria are met, you can extract the student contact information from SIS and upload a group list into Blackboard Connect.
Why don't students show up in Blackboard Connect after they have been enrolled?
Students will only appear in Blackboard Connect after they are actively enrolled AND a schedule has been assigned to them.
Who is responsible for entering and updating student contact information?
The school is solely responsible for any entering and updating of student contact information. For elementary schools, this is done on screen 31 of ESIS. For secondary schools, this is done on the student contact screen in LAUSDMAX/ISIS. For early education centers, this is done in EESIS. For adult schools, this is performed in ASIS.
How often is data updated?
K-12 student contact information is updated daily with a new file sent each morning from LAUSD to Blackboard Connect. Employee, Early Education and Adult school data is updated each Friday. Student scheduling information for Blackboard Connect Teachers is updated daily. Attendance data is updated twice daily.
If I make telephone number changes in SSIS, will this automatically transfer to LAUSDMAX/ISIS and Blackboard Connect?
No. All changes for student contact information must be made in the appropriate system. For early education centers this is EESIS. For elementary schools this is ESIS. For secondary schools this is LAUSDMAX/ISIS. For adult schools this is ASIS. No Blackboard Connectnotification information is transferred from the SSIS.

Errant Calls

When should the school refer a person receiving an errant call to the general 213 241-0875 LAUSD Blackboard Connect number?
This phone number is to be used when an errant call is being received and a recipient does not know the name of the school generating the calls. Central Office staff will search theBlackboard Connect database and communicate with the school to make the appropriate changes which must be made in ESIS (Screen 31) or LAUSDMAX/ISIS (Student Contact screen). If the errant number is associated with an employee, the Central Office will notify the employee and the employee must make the change in the Employee Self Service system.
What should a school do to resolve errant calls?
In order to resolve errant calls, the student or employee whose number causes the errant call must be identified. The first step is to look up the phone number in Blackboard Connect on the CONTACTS tab. Find the Student ID or Employee Number associated with the phone number. If the errant number is associated with a student, go to ESIS or LAUSDMAX/ISIS and make the correction. If the errant number is associated with an employee at your school site, request the employee to correct their telephone number contact information using the Employee Self Service system. Do not refer the caller to the Local District or Central Office as only the school can correct the errant student number.

Usage

Why do other people receive calls when the message is intended for current students and/or employees only?
The most likely reason is the selection of the Type "ALL" when selecting contacts during the message set-up. This results in all contacts, including those listed as "OTHER", receiving the message. It is recommended to select Type "STUDENT" for sending messages to the parents/guardians. Select "FACULTY" for Certificated employees. Select "STAFF" for Classified employees. In most cases, contacts included in the "OTHER" category relate to groups that have been uploaded directly into Blackboard Connect.
Can I send a Blackboard Connect message to contacts that are not part of my school?
Yes. This can be done by uploading a group into Blackboard Connect. This should be done for official school purposes such as contacting incoming students who have not been enrolled in your school, communicating with magnet school applicants or community members who do not have children enrolled at your school. Groups can also be created for a subset of your school population such as selected students going on a field trip, school club members, athletic teams, magnet and small learning communities (SLC's) students.
What can a school do if a parent/guardian does not want to receive notification messages?
The District has established a No Opt-Out policy as this would critically impact our ability to communicate with parents/guardians and employees during times of emergency. The school can exclude any parent/guardian or employee from receiving a notification message when selecting contacts in the message setup. This can be done by creating an EXCLUDE list and selecting the contacts who have requested not to receive the call. This can only be done for general messages and is prohibited when sending attendance and emergency calls. Remember that the parents/guardians have the ability to specify at which phone numbers they are being contacted.
Can we use Blackboard Connect for sending emails?
If parent email information is collected in ESIS or LAUSDMAX/ISIS, the email feature is available when sending Blackboard Connect messages. You will need to type the message in the Blackboard Connect script area during the message set-up in order to use the email function. This is also available to use when sending to employees.
Can we use Blackboard Connect for text messages?
Yes. SMS (text) messaging is available through the Blackboard Connect system. Please see instructions in the Training section.
